Payments

Prepayment is required for all guest apartment reservations unless the cost will be covered by inter-departmental transfer (IDT) from an NC State University department. You may pay by using a Visa or MasterCard (credit or debit) online using our secure payment system. You will be directed to a website to make payment for your stay when you receive your confirmation email.

Cash is not accepted for guest housing payments. Payments in the form of a check or money order will not be accepted without advance approval. Check or money order payments must be received at least five full business days prior to arrival.

If you fail to make payment within the allotted time frame, we reserve the right to release your room. Upon receipt of payment, your room reservation is confirmed. If you are staying beyond one month, a payment plan may be established, with payment due on the first of each month. In person payments are not possible. The desk staff and RA on duty cannot accept payments for guest housing.

Cancellations and Refunds

We require that all cancellations be submitted in writing and received at least 72 hours before the scheduled date of arrival. We reserve the right to charge a cancellation fee of one night’s rent if not given 72-hours advance notice. For reservation modifications after arrival, advance notice of at least one week is required and approval will be subject to space availability. Refunds to the card used for original payment will be issued for proper cancellations.

Conference Rates

The Conference and Guest Services office strives to provide a high level of service at affordable rates. On-campus apartments and residence halls are available for conference and camp program use from mid-May through late July or early August, depending on the university’s academic calendar. In addition to on-campus housing, we also offer on-campus dining, catering, parking and transportation services, recreational and meeting space rentals and more.

One contact. One contract. One invoice. No stress.

Let our team help coordinate things so you can focus on your camp, conference or workshop content!

Summer Conference Rates are subject to change annually. Rates provided on this site are for reference only and may not reflect a final contracted cost for service. Please contact our office for the most up-to-date rates or for additional information related to specific services your program may require.

Housing rates are calculated on a per person, per night basis. Maximum occupancy for conference housing is one person per bed. We offer tiered add-on rates based on level of linen service provided. The lowest available rate is for housing space provided without linen. All utilities are included. The “Full Linen” option includes two flat sheets, one blanket, a pillow with pillowcase, one towel and one washcloth per guest. The “Deluxe Linen” package includes the full option, plus an individual soap, shampoo and conditioner container per guest. Please ask us about linen options for programs staying longer than 30 consecutive nights.
